WRU FLAG Privacy Notice

Registration information

We collect the parent or guardian contact details, athlete name, date of birth, football experience, jersey size, registration answers, consent choices and electronic signature supplied on the athlete form. Medical or allergy notes and referral information are optional. Please provide only information relevant to your athlete’s participation and safety.

Why we collect it

We use registration information to administer the program, communicate with families, organize appropriate practice groups, arrange jerseys, support participant safety and maintain registration and consent records. Order and payment information is used to process purchases and maintain business records.

Service providers and access

Our website and checkout use Squarespace and its payment services. Registration and order information is processed through those services, and notifications are sent to our designated WRU email account. Information needed to deliver the program may be shared with authorized WRU staff, coaches and service providers for those purposes. Service providers may process information outside Canada under their own privacy practices.

Photos and videos

The athlete form offers a separate Yes or No choice for use of your child’s photos and videos in WRU website, social media, promotional materials and league communications. You may choose No. Contact us to discuss or change your choice.

Your questions and choices

Contact wruflag@gmail.com to ask about privacy, request access to or correction of your registration information, or discuss withdrawing consent. Withdrawal may affect our ability to provide the program where the information is necessary to administer it; some records may need to be retained to meet legal obligations. Please do not email payment-card details.

Website analytics and cookies

We use Squarespace Analytics and Google Analytics to understand how visitors find and use our website and to improve it. These services may process pages viewed, referring websites, browser and device information, approximate location and interactions with the site. Service providers may process information outside Canada.

Essential cookies support website security, checkout and remembering your choices. Optional analytics cookies are restricted until you accept them. Choose Accept all, Decline all or Manage cookies in our cookie banner, and use Cookie Preferences to change your choice later. Declining optional cookies does not prevent registration or payment. Google’s consent mode may send limited signals without analytics cookies when consent is declined.

We do not intentionally send athlete registration answers, medical notes, electronic signatures or payment-card details to Google Analytics. Automatic form-interaction measurement is disabled.
